Purpose of post
CIW is the independent regulator of social care and childcare. CIW registers, inspects and takes action to improve the quality and safety of services for the well-being of the people of Wales.
CIW’s purpose is to encourage the improvement of social care, early years and social services by regulating, inspecting, reviewing and by providing professional advice. CIW carries out its functions on behalf of Welsh Ministers. We sit within the Chief Operating Officer’s Group within the Welsh Government.
The post holder will support the Inspection, Registration Support or Support Services Team in carrying out a variety of administrative tasks and to assist them in achieving their corporate business objectives.
Key tasks
To provide general administrative and digital support; to act as first and/or second point of contact for calls and emails, depending on the team you are matched to. Recording and email distribution of incoming and outgoing mail; maintaining internal records as required;
To monitor team mailboxes, processing and signpost enquiries to relevant contacts across CIW and Welsh Government for further information as appropriate or refer externally to other partners & organisations.
To arrange internal meetings as required, managing the use of Microsoft Teams and on-site meeting rooms/interview rooms (where required), minute taking and distribution of papers.
To provide support on collating documentation related to a registration or inspection, ensuring the accurate input and maintenance of records
To support the office in the production of inspection, review and registration reports, monitoring achievement of the statutory timetable for publication and maintaining control of the report production process including word processing, formatting and distribution of reports;
Providing first/second point of contact support for CIW, providing a bilingual service where possible to the public and internal customers, receiving and responding to general and inspection enquiries and concerns. Ensuring in instances where you are unable to resolve the query, items are delegated and passed to the relevant team/inspector to respond to.
Using CIW case management system to respond sensitively and confidentially to the acknowledgement of concerns and notifications; including providing support during enforcement action as directed by the CIW Connect Manager;
Using CIW case management system to input accurate and timely data. Checking the accuracy of contact details before communicating with a provider. Informing the relevant team of problems arising from its use where they are unable to resolve.
Providing cover and support to colleagues in the Chief Inspector’s team and wider Senior Management team, as required.
Maintain confidentiality in all aspects of your work including the handling of confidential information
Maintain electronic filing systems (iShare), permissions, and document controls to high standards of information governance
Managing own professional development and seeking appropriate opportunities in discussion with the line manager.
Any other administration duties that may be required by the line manager.
